Mapping Fields to the Import File

Once you have selected the Target folders in the Target Folders Selection Page, the software displays the contents of the Import file on the Import Contents Page as shown below:-

If the Imported File is in the correct format, orchidmedia will display the contents of the import file, and attempt to match the individual fields in the file with the internal fields used in orchidmedia.  In this case, we are importing a file which was exported from Microsoft Outlook as a comma delimited file (CSV).  Comma Delimited files are text files where the start and end of each field of information in the file is indicated by a comma (,), and the start and end of a distinct record is shown by new line.

 

An example of a comma delimited file would be

"Contact Name","First Name","Middle Name","Address Line 1","Address Line 2",........."Last Field"

"A.N.Other","Andrew","Nathan","!2, Some House","Some Lane",....."Zipcode 999"

 

It is also common to find the first line of information is used to show the field names found in each line of information.  This is called the header line.

 

1. Previous Page - select the previous page button to move back a page during the display of the Import Window.

 

2. Next Page - select the next page button to move to the next page.

 

3. Field Map - in the Field Map view, you can see the Order, the Mapped Field and the Header in the File Columns. You can also see the name of the current Mapped file, in this case the DEFAULT Map and the current record and the total number of records found in the file.

 

Orchidmedia stores information in a different way to most other software, so in order to import information from another software package, we must map orchidmedia fields to the fields used in the imported file.  For example, say you want to import a contact name. Orchidmedia needs to find the contact name in the import file, so it must map it's contact name to the contact name in the import file.

 

In the Mapped Field column, you will see the orchidmedia fields that are already mapped to a field found in the import file by the order it is in the file.

 

4. PREV and NEXT record - you can read through the import file to check that the actual contact information in the file will be mapped to the correct orchidmedia fields (e.g. contact names to contact names, address lines to the correct address lines), when the import starts.

 

5. CUSTOM maps - if you find the import file contents are not being mapped to the correct field in orchidmedia, you can edit and create your own custom map to use for the import file using this Custom button.

 

6. Cancel -select the Cancel button to cancel the import and exit the import window, at any time during the import process.

 

Select the next Page button to display the Start Import Page, or edit the Default Map using the CUSTOM button, until orchidmedia fields are mapped to the correct information in the import file.
